CALF-Events CIC

Applicable to all CALF-Events executed with Museum and Cultural Partner Spaces
Effective: June 2025 – Reviewed Annually

1. Our Commitment

CALF-EVENTS CIC is committed to safeguarding the health, safety, and well-being of everyone participating in our creative, cultural, and community-led events. This policy provides a general framework for ensuring safety in any partner venue, particularly museums and cultural institutions, where we deliver arts-based sessions—especially those involving children and families.

Each event will align with the health and safety requirements of the host venue, and we will liaise with their designated site coordinators or safety officers to ensure all necessary local procedures are followed.

2. Shared Responsibilities

CALF-EVENTS CIC 

  • Ensures safe planning and delivery of activities within all host spaces.
  • Assigns a CALF-EVENTS CIC Coordinator or Lead Artist for each event to liaise with the host venue.
  • Conducts risk assessments specific to our activities, materials, and participants.
  • Trains our artists and volunteers in safe workshop practices, especially with tools and children.

Host Venue (Museum or Cultural Partner)

  • Maintains general building safety (e.g. fire exits, alarms, general site access).
  • Provides their venue-specific health and safety procedures and key contacts.
  • Supports CALF-EVENTS CIC in managing emergencies during co-hosted activities.

3. Artist & Volunteer Responsibilities

Everyone involved in CALF-EVENTS CIC activities must:

  • Take reasonable care for their own safety and that of others.
  • Use materials (e.g. glue, beads, scissors, paint) safely and responsibly, especially around children.
  • Supervise creative tools at all times during use.
  • Keep activity areas tidy and free of obstacles.
  • Immediately report hazards, broken tools, or incidents to the CALF-EVENTS CIC Lead and venue contact.
  • Cooperate with any emergency or evacuation led by the host venue team.

4. Safe Use of Creative Materials

CALF-EVENTS CIC sessions may involve:

  • Scissors: Only child-safe types for younger children, with active supervision.
  • Glue & Paints: Non-toxic and age-appropriate. Hot glue used only by adults.
  • Beads & Small Objects: Used with caution. No unsupervised access by very young children.
  • Markers, Inks & Sharp Tools: Provided based on age suitability, with demonstration and oversight.
  • Storage & Setup: All tools and supplies must be stored securely and packed down safely.

5. Emergency Procedures

  • Venue-Specific Instructions must be followed in case of fire or other emergencies.
  • Artists and volunteers must familiarise themselves with exit routes, alarms, and assembly points for each site.
  • Fire drills, if required, will be supported by CALF-EVENTS CIC 
  • Accidents must be reported to both the CALF-EVENTS CIC event lead and the venue’s designated contact.

6. Risk Assessments

  • CALF-EVENTS CIC will prepare event-specific risk assessments in coordination with venue policies.
  • Particular attention is given to manual handling, tool use, and supervision of young children.
  • All facilitators must read and follow these before each session begins.
  • Each facilitator must sign the risk assessment tool prior to delivery for their activity in order to be remunerated

7. Well-being in Creative Spaces

We aim to build spaces that are physically and emotionally safe. All staff and volunteers are encouraged to:

  • Prioritise rest and hydration during long events.
  • Take breaks when needed and support one another.
  • Report any personal or participant well-being concerns to the event lead.

8. Policy Non-Compliance

Failure to follow safety guidelines, endangering others, or misusing materials or tools may result in removal from an event. Serious incidents will be reviewed by CALF-EVENTS CIC leadership.
